I've spent the last six years coordinating lighting orders for people who don't have the luxury of a three-day lead time. In that time I've probably handled two hundred same-day, next-day, and please-arrive-by-lunch requests. The calls almost always start the same way: can you get this here by tomorrow? The question I ask next is usually the one that matters more: what happens if it doesn't work when it gets there?
When I first started doing rush lighting, I thought the solution was speed. A light arriving on time felt like a finished job. Then, in March 2024, we shipped a light that arrived perfectly on time but couldn't be mounted because nobody had checked the adapter. The client didn't get the shot, the courier fee didn't matter, and I stopped treating rush orders as gear problems. I started treating them as interface problems.
This article won't give you one universal checklist, because there isn't one. A Godox ML100Bi bi-color LED light, a Godox FLS10 fresnel lens, a porch spotlight, a Fenix spotlight, and a light switch wiring job all live under the word 'light' but they fail in completely different places. The trick is figuring out which interface is most likely to break before you promise a delivery time.
There isn't one universal lighting checklist
Every rush lighting request has one of three failure modes:
- If you're choosing a light you don't own yet, the risk is whether it actually fits the job and the studio around it.
- If you're adding a modifier to a light that already works, the risk is whether the two pieces physically match before you're on site.
- If you're installing a fixed light, replacing a fixture, or powering a portable light, the risk is the wall, the mount, the wiring, or the battery—not the fixture itself.
It's tempting to think the fastest solution is always the best light. That advice ignores the fact that every missing adapter, battery, or mounting plate is a project stoppage. The keyword is not 'bright.' The keyword is 'ready.'
Branch one: the light itself is the risk
Let's use the Godox ML100Bi as an example. I regularly get calls asking if we can ship one to a shoot by Thursday or Friday because the booked fixture died at the last minute. It's a natural option because it's compact and bi-color, and it can travel in a bag that doesn't need its own seat on the plane.
The Godox ML100Bi bi-color LED light reviews you'll find online can tell you about output, color consistency, fan noise, and build quality. I don't ignore those. But I read reviews differently from most people. I'm not looking for 'this is the best light I've ever used.' I'm looking for 'I didn't have the right adapter' or 'the battery plate was separate from the main box.' Those warnings are the real checklist.
In branch one, my final check looks like this:
- What mount is on the other end of this light, and do I own that adapter right now?
- If there's no wall power, do I have a battery and a charger in the same shipment?
- If there is wall power, is this unit the correct voltage for the location?
- Who is going to open the case and test the light before the client is on set?
If you can't answer all four, you haven't bought a light. You've bought a reason to arrive early.
Branch two: the light exists, but the modifier is missing
The same-day request changes when someone already owns their key light but needs to shape it. I've had this exact order: we need a Godox FLS10 fresnel lens because we're shooting against a glass wall. The FLS10 can narrow the spill and make it easier to light the subject without lighting the whole reflection behind them. That kind of product can genuinely save a job.
But a fresnel lens is not a light by itself. It is a physical match between a lens, a mount, and a light head. The same-brand assumption is dangerous. Different lights within one brand can use different mounts, and 'we'll make it work' is not a backup plan when the set is waiting.
Before I put a fresnel into a flight case, I run a dry test:
- Does the lens lock onto the exact light model named in the order?
- Do the barn doors and the lens ring clear the case when the head is tilted downward?
- Does the stand still hold the head securely with the added weight?
- Is there a second option if the fresnel creates a beam that doesn't suit the shot?
The last one is often the one people don't expect. A fresnel changes the beam in ways that can be perfect for the background but harsh on a face. In a rush, the fastest way to discover that is usually the wrong time.
Branch three: the light has to live somewhere or get power from somewhere
This branch is where my late-night phone calls really come from. Somebody is standing near a dark wall, a dead fixture, or a box with wires hanging out. A request for a porch spotlight sounds straightforward. The porch light stopped working and a replacement needs to be there before the property inspection. But a porch spotlight isn't a camera light. It has to survive weather, mounting, vibration, and the specific electrical box behind the old fixture.
A porch spotlight usually fails at the mounting plate before it fails at the LED chip. If the old fixture was attached to an octagonal box and the new fixture expects a different screw pattern or a flat mounting surface, the fit won't be weather-tight. You don't want to discover that at the top of a ladder with the old fixture in one hand.
I also get requests for durable portable lights, and a Fenix spotlight is often mentioned. I like a Fenix spotlight for its role as a compact work light. I keep one in my truck for dark loading docks and parking-lot calls. But if a Fenix spotlight sits in a vehicle for two months and nobody checks it, the failure point is predictable: the battery. Test the battery before the job, not at the moment someone clicks the tail switch.
And then there's the wiring question. If you're asking 'how to wire a light switch to a light' while you're holding pliers, you've already skipped the most important step. I'm not an electrician, so I'm not going to give you a step-by-step wiring guide here. The prevention-minded answer is: turn off the breaker first, identify every wire, then call someone who knows exactly what to do with the switch leg. A short call to a licensed electrician is cheaper than a five-hour trip to an emergency room.
How to tell which branch you're in
If you're not sure which checklist applies, ask what the new piece has to connect to before it produces light:
- If it connects to a camera, an operator, or a bag that will carry it, use branch one.
- If it connects to a light head and a stand that are already booked, use branch two.
- If it connects to a wall, a switch, a ceiling, or a battery, use branch three.
There is no branch that says 'I'm running out of time, so I should skip the test.' That branch is the most expensive one in the industry.
Five minutes of verification beats five days of correction. It sounds boring. It's still the only guarantee I can offer when a light has to be there tomorrow.
